Timeline for the Doctoral (Ph.D.) Degree 

As you progress towards towards the completion of your Ph.D. degree, it is important to keep in mind two milestones that are tracked by the Department during your time here: Candidacy and Original Research Proposal. The Chemistry Graduate Program Coordinator will monitor student compliance twice every semester.  At the beginning of each semester, the coordinator will notify students who have not met Milestone 1 or 2, within the given deadlines, and will ask for a written explanation of their status.  

911±¬ÁÏÍø who are more than 1 semester out of compliance of Milestone 1 or 2 will also need written confirmation from their Research Advisor stating that there is a plan in place to achieve that milestone within that next semester. 911±¬ÁÏÍø who are more than a year out of compliance of Milestone 1 or 2 may not be considered as first priority for a TA position.

All students who are out of compliance are reviewed by the Graduate Council, Graduate Director, and the Director of Academic Programs and Student Affairs once per semester. 

All the forms below are required as you progress through each milestone. All forms must be completed using DocuSign and turned in via email chmgrad@usf.edu

Common chemistry graduate student forms

Annual Progress Report
(Updated June 2017)

The annual progress report form must be completed each year and provided to your committee during your annual committee meeting. It is similar to a CV — you create one form and add to it as your progress through the program. Please make sure to keep an editable word document for yourself, which you can update annually.
Changes to Committee Form   You must note sufficient reason to change your committee. One example is that a faculty member is leaving the university. You must note this reason on the form, and the department and college must approve the change. Changes to your committee should only be made when absolutely necessary and are not allowed during your semester of graduation.

Doctoral Candidacy Forms

Due by the end of the 3rd semester (Fall and Spring only)

Graduate Student Supervisory Committee Form Prior to scheduling your Candidacy meeting, this form must be completed, signed (by all committee members including your external member) and turned in. Do not turn in this form without signatures from ALL members. It will not be submitted to the college unless your committee is complete.
Report of Research Proposal and Future Plans At your Candidacy meeting, if you are promoted to Doctoral Candidacy, your committee members also need to sign this form. Please list the date of your Candidacy presentation (to your committee) as the date of your "Successful Qualifying Exam Completion" (this question on the form is not referring to your ACS exams).

December 1, 2024 in order to be considered a candidate beginning Spring 2025.

Committee form must be on file prior to submission.

If this form is approved by the Dean's office by their deadline for candidacy requests, you will then need to register for Dissertation hours the following semester.

Original Research Proposal

Due by the end of the 5th semester (Fall and Spring Only)

Defense of Original Research Proposal At your ORP meeting, these forms should be completed/signed and then turned in. Please see the graduate handbook for additional information about ORP defense.

Research Data Presentation/Defense

Due by the end of the 8th semester (Fall and Spring, not including summers). Must be completed one semester prior to your dissertation defense.

Dissertation Defense

At least two weeks prior to your Dissertation Defense, these forms need to be submitted to CHMGRAD@USF.EDU with ALL signatures (*if applicable). If you need the Department Chair's signature, you must turn the form in at least three weeks in advance.
Defense Announcement  Submitted two weeks prior to the defense. This form will be distributed to advertise your defense date. Include this form in your email to CHMGRAD@USF.EDU with all defense documents.
Successful Defense This form will be filled out twice.
  1. Once two weeks before the defense with no signatures
  2. After the defense with all of the signatures, except the College Dean.

Include this form in your email to CHMGRAD@USF.EDU with all defense documents.

The signed form will be submitted to CHMGRAD@USF.EDU after the defense.

Thesis and Dissertation Certificate of Approval

1. After successfully defending the dissertation, this form should be submitted to CHMGRAD@usf.edu for Dr. Nelson, Program Director, to sign and Katelyn to verify committee signatures. 

2. CHMGRAD@usf.edu will then return the form with the Program Director signature.

3.  Student then sends the form directly to the Office of Graduate Studies.

Deadline to submit FINAL approved Dissertation: November 8th, 2024 at 5:00PM
 

Master of Science Thesis Defense

Deadline to request Master's Thesis Defense: October 11, 2024
